Administrative and Financial Procedures – Golden Jubilee Anniversary Celebrations of GBHS Mbengwi

This administrative procedure outlines the steps involved in planning and executing the Golden Jubilee anniversary celebration for GBHS Mbengwi. It is designed to ensure that the event is well-planned, organized, and executed in a safe and efficient manner.

It also outlines the steps involved in budgeting for, securing funding, and managing finances and to ensure that, financial resources are managed in a responsible and transparent manner.

The Golden Jubilee anniversary is a significant milestone for GBHS Mbengwi, and the celebration should be commensurate with the occasion.

The Coordination Committee should consider inviting distinguished alumni, former staff members, local authourities and other dignitaries to the celebration.

The Coordination, should also develop a contingency plan in case of unforeseen circumstances, such as bad weather or unexpected expenses.

Scope

This administrative and financial procedures apply to all aspects of planning, execution,

budgeting, fundraising and the management of finances for the Golden Jubilee anniversary celebration.

Responsibilities

Committees have been established with several responsibilities to work in collaboration with the school administration and the Parents Teachers Association (PTA). They are responsible for all aspects of planning and executing the Golden Jubilee anniversary celebration. This includes designing projects, activities, developing the budget, securing financing, coordinating activities, and managing finances, expenses and maintaining accurate financial records, under the auspices of the Anniversary General Coordination Committee.

Procedure

Committees are Form a committee and develop a timeline. The first step is to set up committees of volunteers to help plan and execute various aspects of the activities. The committee meet regularly to develop a timeline and budget for presentation and deliberations to the general assembly, during Zoom and other Meetings.

 

Anniversary projects are presented through the project committee and validated by the General Coordination Committee and the school Administration.

Based on the projects envisaged and the budget, a fundraising process is put in place backed by the alumni and school community, corporate sponsors as well as well-wishers.

The Finance Secretary will collect and register all funds deposited into the anniversary dedicated account at the bank as well as track expenses carefully.

Establishment of financial controls. The General Coordination would establish financial controls mechanisms to ensure that all funds are used appropriately and that expenses are accurately tracked. This includes establishing a separate bank account for the event, requiring all expenditures to be approved and maintaining detailed financial records.

At the end of the anniversary celebrations and completion of projects an evaluation and audited report will be prepared for posterity. This will help them to identify areas for improvement for future event
